Booking Terms & Conditions

Please ensure you read and fully understand these booking terms and conditions.

If anything is unclear, please contact us so we can explain in further detail to avoid any misunderstandings.

Wooley Pingle Shepherd’s Hut is a self-contained unit for couples.

It sleeps a maximum of two adults (over the age of 18).

We are sorry but neither children nor pets can be accommodated.

General

By making this booking you (the guest) are entering into a legally binding contract with us (the property owners) which is subject to the Wooley Pingle Terms and Conditions detailed below so please read them carefully.  Your payment will indicate your acceptance of these terms.  The property owner is also referred to as “we” and “us”.

The guest is the person who signs the booking form or, in the case of online booking, the person who makes the online payment. This person is responsible for ensuring all members of the holiday party accept and adhere to these terms and conditions. The guest is also referred to as “you”.

A material breach of these conditions may lead to you being refused entry to the accommodation or being asked to leave early and have your booking terminated.  In such circumstances, your booking will be deemed to be cancelled and no refunds will be made.

Your booking
This is confirmed when you receive written confirmation from us of your stay via email.  Please ensure all the details on your booking form are correct, and advise us of any errors immediately to ensure your stay is planned for.

Payment

To secure your booking a deposit is payable within 48 hours of the provisional booking being taken. The booking is taken on a provisional basis until the deposit has been paid in full and funds cleared through the banking system (where appropriate). The booking then becomes confirmed. Until the booking is confirmed, it can be cancelled at any time without prior notice.

A non-refundable deposit of one-third of the total holiday cost is payable at the time of booking. Bookings made less than four weeks before your arrival date must be paid in full.  Booking and Payment are generally via the online booking software on our website.

The balance must be paid no later than 4 weeks before the commencement of your holiday. If the balance is not received by the due date, then your holiday will be treated as a cancellation, and you will remain liable to pay the balance of the rent.

Cancellation by the Guest

In the unfortunate event that you have to cancel your booking please advise us immediately and confirm in writing to Diane@wooleypingle.co.uk. We will confirm receipt of your cancellation request by return email.

We will attempt to re-let the property for the dates and if successful then a proportion of any monies paid may be reimbursed. However, we strongly recommend you take out holiday cancellation insurance.

Cancellation by the property owner

Your booking will not be cancelled by us except in exceptional circumstances beyond our control. Notification will be given of the cancellation as soon as possible and in this situation, we would refund all monies paid by you for the holiday.

Our liability for cancellation will be limited to payments made to us. No compensation or consequential losses shall be paid.

Amendments

Should you wish to amend your holiday before its commencement we will do our very best to accommodate your request but cannot always guarantee this will be possible.

Miscellaneous

Whilst every care is taken to provide a true and accurate description of the property, over time, alterations are made, and some things do change. The guest accepts that no refunds are available for such discrepancies.

We, the property owner reserve the right to enter the property, at a reasonable time, in the event of an emergency or remedial repair work being required.

We, the property owners are entitled to ask the guest to leave the property without any refund if, in our opinion, the behaviour of the guest and/or his/her party is unacceptable.

We reserve the right to refuse entry to anyone, who in the property owner’s opinion is not suitable to or capable of taking charge of the property.

We, the property owner, reserve the right to ask the guest and their party to leave the property, without a refund, should the behaviour of the guest and/or their party be considered by the property owner to be unreasonable.

Number of Guests

The maximum number of people entitled to stay at this property is two and only those listed on the booking form can occupy the property. If it is found that more people than agreed are using the property, this will be considered a breach of contract and the guest and his/her party will be asked to leave immediately without any refund. Sub-letting or assignation of the let is prohibited.
The maximum number of occupants is 2 persons. Bookings cannot be accepted from persons under eighteen years of age.

Arrivals and departure

Every effort will be to have the property available to you from 3.00 pm onwards on the day of arrival.  We ask that you specify an arrival time so that we can be available to welcome you and show you to the hut. We clean very thoroughly between guests and will not generally have finished cleaning until 3.00 pm.  

The property must be vacated before 10.30 am on the morning of departure. Late departure may result in an additional charge being made.  Information about keys and how to collect them will be provided once full payment has been received.

Cleaning

We would like to think our guests would treat the property as they would their own home and at the end of the holiday the property is left in a clean and tidy condition. We retain the right to make an additional charge for cleaning should the property not be left in a similar condition to the way it was found at the start of the holiday.

Breakages/damage

We do not intend to take a damage/security deposit as we trust adults to be as honest and careful as we would be when staying in the Hut. We fully recognise that accidents will happen from time to time so if you notice something is missing or damaged in the Hut, please let us know immediately so that we can take the appropriate action. If there has been any damage or breakages during your stay, we would be grateful if you could report them promptly, especially before check-out. We don’t sweat the small stuff (glasses, mugs plates etc) but it’s handy to know so we can supply some replacements for the next guests.

Larger damage/breakages may result in a charge for loss/damage. The accommodation will be inspected at the end of the holiday & you may be charged. We would rather be informed at the time so we can discuss them with you and agree to the cost than discover issues after departure.

Liability

The use of the Property is entirely at the guest’s risk, and we do not accept any liability for injury, death, or loss to any member of your party or any vehicles or possessions unless it is proven to have been caused by a negligent act by ourselves.

Complaints

Every endeavour is made to ensure your stay with us is memorable for all the right reasons. However, we do recognise that from to time things do go wrong. In these circumstances, it is the responsibility of the guest to make any such problem known to us immediately after it becomes apparent, thereby giving us the opportunity to correct the situation. Unless this procedure is followed, no subsequent claim will be entertained.

We, the property owners, will make every endeavour to rectify any identified problems as soon as is reasonably possible. Any complaints made retrospectively cannot be considered.

 Conditions

▪vaping or smoking (or the use of illegal substances) anywhere inside the premises is not permitted and will result in immediate termination of occupancy and forfeiture of all payments. This must be strictly adhered to, and any damage or extra cleaning caused by smoking will be at your expense.

▪ Pets are not allowed on the property.

▪ Parking – one space is available for guests to use.  We can provide charging for electric vehicles (only 3.8kw supply from an external 13amp socket, this will only give vehicles a top-up. Usage is measured via a meter and guests are charged accordingly as an additional cost. Guests to provide their own lead).

▪ Guests are welcome to store any bikes in our bike shed for the duration of their stay, the shed is kept locked, and bikes are left at the clients’ risk.

▪ Please respect the community and try to keep noise levels to a minimum, especially between 11 pm and 8 am.

▪ Candles are not allowed inside the property.

Other helpful information such as arrival details/ emergency contact details etc. are included in the Hut Information Pack that guests will receive prior to their stay.
